How to export your schedule from Dentrix Ascend
Dentrix Ascend is the cloud version of Dentrix, and its reporting works differently from the desktop product. Almost everything you need for revenue recovery lives in one place, Power Reporting, and the reports there export straight to CSV or Excel. This guide shows which Power Reports to run, how to build a reusable appointment export, and one timing detail that catches people out.
- Power Reporting (Home > Reports > Power Reporting) holds the reports that matter, and they export as PDF, XLSX or CSV.
- The Interactive Schedule Report Builder lets you build an appointment-level export with the fields you choose, then save it as a template.
- The Missed Appointments, Recare and Unscheduled Treatment reports cover the three biggest pools of recoverable dental visits.
- Power Reports run on synced data. Check the Data as of button before exporting so you know how current the file is.
- On desktop Dentrix G-series? The menus differ; use our Dentrix desktop guide.
How Ascend reporting is organized
According to the Dentrix Ascend Help from Henry Schein One, Ascend has two kinds of reports. Standard reports sit under the Reports section of the Home menu. Power Reports live on the Power Reporting page, where you find a report by typing its name into the Search box. Power Reports can be customized: you can add or remove fields, change filters and save the result as a custom report.
Power Reports come in two styles, and they export slightly differently. Analysis reports export through the More actions and options button: choose Export, pick a file format, complete any options and click Export. Interactive reports have an Export icon; click it and pick a format. Either way the file lands in your browser's download folder. For revenue work, choose CSV or XLSX. PDF is for printing, not data.
Build a reusable appointment export
Ascend does not need a single fixed appointment report, because it gives you a builder. The Help describes the Interactive Schedule Report Builder as a way to create reports from scheduling data, with fields for dates, appointments, operatories, patients, procedures, providers, locations and the organization. The documented steps, with our suggestions for revenue work:
- Go to Home > Reports > Power Reporting and open the Interactive Schedule Report Builder.
- Click Data as of to see when the data last synced.
- Click Toggle Edit to add fields and filters. Look for fields covering appointment date and time, length, status, provider, operatory, location, a patient ID and a phone number; exact field names are in the builder itself.
- Filter the date range. For a first export, the past 90 days and the next 30 is a sensible window.
- Click Save, name the report and choose whether it is for you or the whole organization, so it runs the same way every time.
- Export as CSV or XLSX.
The Missed Appointments report
Run from Home > Reports > Power Reporting > Missed Appointments, this report shows a graph of missed appointments by status and, for each provider, the number of missed appointments and the unrealized production attached to them. Below the graph it lists the missed appointments in your date range. You choose a Location and adjust the Appt Date On or after filter with the Filter button.
The Help makes an important distinction. This report shows outstanding missed appointments; it does not show appointments that were rescheduled. A separate Missed Appointments History feature keeps static counts regardless of rescheduling. For outreach, the report is what you want, because every row is a visit still waiting to happen. The unrealized production figure also tells you, in Ascend's own numbers, what that backlog is worth.
Ascend's own blog also describes a Fill Openings panel in the Calendar, with an ASAP list of patients who want an earlier time and a Broken/No Show list of patients with treatment-planned procedures who broke an appointment. That panel is a working screen for filling a specific gap; the Missed Appointments report is the version you can export.
Recare and unscheduled treatment
Two more Power Reports cover patients who aren't on the schedule at all. Per the Help:
- Recare Report (Power Reporting): lists patients with recare attached, grouped by recare type, with the recare due date, the next appointment scheduled for that recare type, the patient, the primary contact, the contact's phone number and the last visit date. A blank next-appointment date with a past due date is an overdue patient.
- Unscheduled Treatment Report (Power Reporting): lists patients with treatment-planned procedures that aren't scheduled, with last visit date, insurance renewal month, remaining benefits, the procedures, providers and fees, and the primary contact's name, phone and email.
- Patients not Recently Seen Report (Power Reporting): patients with no treatment since a No Visit Since date you set, with their last treatment date and contact details. Useful for reactivating patients who have drifted away entirely.
- Recare Management (a standard report under Home > Reports): filters to scheduled or unscheduled recare by due date range and recare type. The Help documents a Print option for it rather than a file export, so use the Recare Report when you need data.
The sync timing detail
Power Reports don't read the live schedule. The Help explains that data entered after the time shown on the Data as of button won't appear in a report until the next sync. That matters most for same-day work. If a patient cancelled at 8:40 and the data is as of 8:00, the opening won't be in your export yet.
Two habits handle it. Export at a consistent time each day, after the morning rush of changes has had time to sync, and note the Data as of time somewhere the person using the file can see it. For anything happening in the next few hours, the Calendar itself is the source of truth.
A worked example with illustrative numbers
These figures are illustrative, not benchmarks. A three-operatory office exports its saved schedule report for the next two weeks and finds 11 open hygiene hours. The Missed Appointments report shows 15 outstanding missed appointments, and Ascend puts their unrealized production at $4,200. The Recare Report shows 140 patients past due with no next appointment.
Say a hygiene visit is worth $175. Filling 6 of the open hours with one-hour visits is $1,050. Rebooking two thirds of the missed appointments recovers roughly $2,800 of the $4,200. And bringing back 20 of the overdue recare patients is $3,500 more, before any treatment found at those visits. All of it comes from reports Ascend already includes.
DocsDDS works from your Ascend exports
DocsDDS, the dental edition of DocsMD, works alongside Dentrix Ascend starting from the Power Reports your office already exports, with no installation and no system access. It detects open chair time, outstanding missed appointments and overdue recare, texts patients times with numbered choices, and hands each booking to your front desk to enter. DocsMD Hold blocks can reserve a time on the Calendar while a patient decides, and every recovered visit is itemized weekly.
Questions
Can Dentrix Ascend export reports to CSV?
Yes. Per the Dentrix Ascend Help, Power Reports can be exported as PDF, XLSX or CSV, or viewed as HTML.
Why is a cancellation from this morning missing from my export?
Power Reports use synced data. Anything entered after the time on the Data as of button appears after the next sync.
Does the Missed Appointments report include patients who already rebooked?
No. The Help says it shows outstanding missed appointments and does not show rescheduled ones, which is what you want for outreach.
Is this the same as exporting from Dentrix G7?
No. Ascend is cloud-based and uses Power Reporting; desktop Dentrix has different menus. See our Dentrix desktop guide, and Henry Schein One's help resources for your product.
