Your Schedule Data

How to export your schedule from Greenway Intergy

In Greenway Intergy, the scheduling screens are where appointments are made, but Intergy Practice Analytics is where Greenway's documentation shows how to report on them and send the results to a file. This guide walks through building an appointment report from the Appointment Info InfoFolder, exporting it to Excel or a delimited file, and running it on a schedule.

Key takeaways
  • Greenway's Practice Analytics documentation says the Appointment Info InfoFolder can be used to report on past, future, cancelled or rescheduled appointments.
  • A new report starts with Write a New Report, then an InfoFolder, then Select Fields (up to 35), the Refine window and a layout.
  • The Send To command can export to a tab- or comma-delimited file or straight to MS Excel, with an option to include column headers.
  • The Report Scheduler runs saved reports on a set schedule; its email notifications carry links to exported results, not the data itself.
  • Not every Intergy practice uses Practice Analytics, and screens vary by version. Confirm with your administrator or Greenway support.

Where appointment data comes from in Intergy

Greenway's Practice Analytics reference maps each InfoFolder to the part of Intergy that fills it. Four of them are about appointments, and knowing which is which saves a lot of guessing:

  • Appointment Info: filled from the Appointment Scheduler (Intergy > Scheduling > Appointments). This is the one for a schedule export.
  • Appointment Recalls: filled from Recalls Maintenance (Intergy > Scheduling > Recalls > Maintenance). Useful for patients who are due back.
  • Appointment Wait List: filled from Wait List Maintenance (Intergy > Scheduling > Wait List). These are the first people to offer an opening to.
  • Appointment Hospital Rnds: filled from Hospital Rounds maintenance. Usually not relevant to filling office time.

Before you build anything

Practice Analytics is a reporting tool that sits alongside Intergy, and access depends on how your administrator set it up. Greenway's documentation notes that which InfoFolders you can see depends on administrator settings, and that each report can only include fields from one InfoFolder. So an appointment report and a recall report are two separate reports.

If your practice doesn't have Practice Analytics, or you can't see the Appointment Info InfoFolder, ask your administrator or Greenway support which appointment report your office uses and whether it exports to Excel or CSV. We don't publish menu paths for those situations because they vary by version and setup.

Building the appointment report, step by step

These steps follow Greenway's Practice Analytics help for creating a new report. The version we reviewed may not match yours exactly.

  1. In the Navigation pane, click Write a New Report. The available InfoFolders appear in the Main window.
  2. Click the Appointment Info InfoFolder.
  3. Click Select Fields on the Main toolbar to open the Selection window, and choose up to 35 fields.
  4. Click Next to open the Refine window and set your refinements, such as the appointment date range.
  5. Click Next again and choose Worksheet as the layout to see the data in rows.
  6. Review the results, then click Save so the same report can be run again without rebuilding it.

Choosing fields: a short list beats a long one

Greenway's help says the Appointment Info InfoFolder groups its fields by appointment location, appointment provider, resources available for appointments, and information about patients. The exact field names depend on your version, so rather than list them, here is what to look for in each group:

  • Appointment details: date, start time, length and status, so cancelled and rescheduled visits stand out.
  • Location: essential for multi-site practices, where an opening at one office doesn't help a patient who always goes to another.
  • Provider and resource: who the time belongs to, including any rooms or equipment that are scheduled.
  • Patient: a patient identifier that stays the same across exports, plus a mobile phone number.
  • Skip free-text notes and anything clinical. Thirty-five fields is the limit, not a target; ten well-chosen fields make a cleaner, safer file.

Getting the data out: Send To

Practice Analytics distributes report data through the Send To command. Greenway's documentation lists its options: Clipboard, Printer, File (a tab- or comma-delimited file), MS Excel, and MS Access, which is only available to users assigned expert mode.

For Excel, open the Send To dialog box, click MS Excel, name the destination file or browse to it, choose your options and click Send. Make sure Include Column Headers is on, so whoever reads the file knows what each column is. For a CSV, choose File and pick comma-delimited. Either way, save to an access-controlled practice folder, and delete local copies once the file has been uploaded securely to a vendor under a Business Associate Agreement.

Running it every day without rebuilding it

Greenway documents a Report Scheduler that runs reports on predetermined schedules, so you see updated results without re-entering refinements. Distribution Profiles control what happens next: exporting the results for authorized download, emailing a notification list, or both, in which case the email includes links to the exported results.

That design is helpful for privacy, because the email carries a link rather than a spreadsheet of patients. Keep the notification list short and limited to people who actually use the file.

Illustrative math: the wait list and the openings

These numbers are illustrative. A three-location family practice runs its Appointment Info report for the next 21 days and finds 26 open 20-minute slots, most of them at its smallest site. A second report from the Appointment Wait List InfoFolder shows 18 patients waiting for an earlier time, and the Appointment Recalls InfoFolder shows 95 patients due back.

Say a typical visit is worth $115. If the wait list fills 12 of the openings, that is $1,380. If recall outreach books another 10, that adds $1,150. Neither required a new system, only three saved reports and someone, or something, working the list every day.

How DocsMD handles this

DocsMD runs alongside Greenway Intergy

DocsMD works alongside Intergy starting from the appointment export your practice already produces, with no installation and no system access. It detects cancellations, open time and overdue patients, texts patients times and numbered choices, and hands each booking to your front desk to enter. Every recovered visit is itemized weekly, under a Business Associate Agreement signed before any data moves.

Questions

Is Practice Analytics part of every Intergy setup?

Not necessarily. Access depends on your practice's setup and administrator settings. If you don't see it, ask your administrator or Greenway support which appointment report your office uses.

Can I put appointments and recalls in one report?

Greenway's documentation says each report can only include fields from a single InfoFolder, so appointments and recalls are built as separate reports.

Excel or CSV?

Either works. Send To offers MS Excel and File, which writes a tab- or comma-delimited file. Include column headers in both cases.

Does the Report Scheduler email patient data?

According to Greenway's documentation, notification emails include links to the exported results rather than the results themselves. Users still need permission to open them.
