How to export your schedule from Practice Fusion

Practice Fusion has a clear appointment report, but its own guidance says appointment reports can be printed and not exported. That changes how a practice gets schedule data out of the system. This guide explains what the report shows, what Practice Fusion documents about appointment data, and the practical routes to a clean file.

Key takeaways
  • Reports are reached by clicking Reports in the left-hand navigation bar of the Practice Fusion EHR.
  • The Appointment & eligibility report can list appointments by date, status, provider, insurance eligibility or facility.
  • Practice Fusion states that Appointment and Prescription reports can be printed but not exported, unlike many of its other reports, which offer Export to .CSV.
  • Practice Fusion's EHI export documentation describes a Patient Appointments data set with start and end times, status, appointment type and no-show or cancellation reason.
  • Features change. Confirm the current options with Practice Fusion's help center or support before you build a routine around them.

Start with the limit, not the menu

Most schedule export guides begin with clicks. Practice Fusion needs a different starting point, because the company's own description of its reporting tools includes a plain note: Appointment and Prescription reports can be printed but not exported. Many other Practice Fusion reports can be exported to a .CSV file after you run them. The appointment report, as described, is not one of them.

That does not mean schedule data is out of reach. It means the routine you build has to fit what the system allows. Before you spend time on workarounds, ask Practice Fusion support one direct question: is there a current way for our practice to export appointments for a date range to a spreadsheet? Features are updated, and support can tell you what applies to your account today. We only describe what Practice Fusion has published, and we don't list menu clicks we can't verify.

What the Appointment & eligibility report shows

According to Practice Fusion, its reports fall into three categories: quality reporting, clinical reporting and practice management reporting. You reach them by clicking Reports in the left-hand navigation bar of the EHR.

The report that matters for scheduling is the Appointment & eligibility report. Practice Fusion says it can retrieve a list of appointments by date, status, provider, patients' insurance eligibility or facility. Those filters are exactly the ones revenue recovery depends on:

  • Date lets you look back at last week's misses and ahead at next week's gaps.
  • Status separates the visits that happened from the ones that were cancelled or missed.
  • Provider shows whose calendar has open time.
  • Facility keeps multi-location practices from offering a patient a slot across town.
  • Insurance eligibility helps the front desk spot coverage problems before a patient arrives, which is a separate source of lost revenue from the empty slot itself.

Routes to a usable file

If support confirms there is no direct export for your account, practices generally have three options. None of them requires guessing at hidden menus.

  1. Use the printed report as the working list. Run the Appointment & eligibility report filtered by status, print it, and work it at the front desk. This is low-tech but immediate, and for a small practice it can be enough to start.
  2. Save the print output as a PDF. If your browser's print dialog offers a save-as-PDF option, the report becomes a file. PDFs are hard to turn into clean rows, though, and conversion tools can split or merge lines. Check every row against the screen before relying on it.
  3. Ask about the EHI export. Practice Fusion publishes documentation for its electronic health information (EHI) export, and that documentation includes a Patient Appointments data set. Ask support who in your practice can request it, how often, and in what format it arrives.

What Practice Fusion's appointment data contains

Practice Fusion's EHI export documentation lists these fields for patient appointments: a patient identifier, an appointment identifier, provider and facility identifiers, StartDateTime and EndDateTime in facility local time, NoShowOrCancellationReason, ChiefComplaint, AppointmentType, AppointmentStatus, RoomLocation, an associated encounter identifier, and who last modified the record and when.

Two things stand out. First, start and end times together give you each visit's length, so you can tell a 15-minute gap from a 45-minute one. Second, NoShowOrCancellationReason is unusually useful: a patient who cancelled because of a schedule conflict is a quick rebook, while one who cancelled because they felt better may need a different conversation.

Notice that the identifiers are codes rather than names and phone numbers. To reach patients, those identifiers have to be matched to contact details, which is part of why it is worth asking support how practices typically use this export.

Leave ChiefComplaint out of anything you share for scheduling work. It is clinical, and filling an open slot doesn't need it. The minimum necessary standard under the HIPAA Privacy Rule points the same way.

Reading the report for lost revenue

Whatever form the data takes, the questions are the same. Here is an illustrative example for a two-provider family practice; the numbers are made up to show the method.

The office runs the Appointment & eligibility report for the past two weeks, filtered to cancelled and no-show statuses. It finds 22 visits that didn't happen. Checking each patient's chart, staff see that 13 of them have nothing booked since. Next, the report for the coming week shows 9 open 20-minute slots across both providers.

Say an established-patient visit at this practice averages $110. The 13 patients with nothing booked represent about $1,430 in visits that will not happen unless someone reaches out. The 9 open slots are another $990 of capacity. Matching even half of those patients to those slots is roughly $715 recovered in a single week, from a report the practice already has.

The work is in the matching: same provider where it matters, same facility, a slot long enough for the visit type, and a patient who actually wants to come in.

A weekly routine that fits Practice Fusion

  1. Every Monday, run the Appointment & eligibility report for the prior week, filtered to cancelled and no-show statuses.
  2. Mark each patient who has no future appointment. These are the people to reach first.
  3. Run the same report for the coming two weeks and note open time by provider and facility.
  4. Review eligibility flags on upcoming visits so coverage issues are handled before the day of the visit.
  5. If you save any file, keep it in a secured practice location, share it only with a vendor that has signed a Business Associate Agreement, and delete printed copies and PDFs when the week's work is done.
How DocsMD handles this

DocsMD works alongside Practice Fusion

DocsMD works alongside Practice Fusion starting from the schedule data your practice can already produce, with no installation and no system access. It detects cancellations, no-shows, open time and overdue patients, texts patients times and numbered choices without their name or visit reason, and hands each booking to your front desk to enter. A Business Associate Agreement is signed before any data moves, and every recovered visit is itemized weekly. Start with a free leak audit.

Questions

Can I export the Appointment & eligibility report to Excel?

Practice Fusion's published guidance says Appointment and Prescription reports can be printed but not exported. Ask Practice Fusion support whether that has changed for your account.

Which Practice Fusion reports can be exported?

Practice Fusion says many of its reports offer Export or Export to .CSV after you run them, with appointment and prescription reports as the noted exceptions.

What is the EHI export?

It is Practice Fusion's export of electronic health information. Its published documentation includes a Patient Appointments data set with times, status, type and no-show or cancellation reason. Support can tell you how to request it.

Is a PDF of the printed report safe to send to a vendor?

It contains protected health information, so send it only to a vendor that has signed a Business Associate Agreement, through a secure upload, and delete local copies afterward.
