What the 2x Recovery Guarantee means, in real numbers
A guarantee is only useful if you can do the math yourself. This guide translates a 2x recovery guarantee into dollars, then into visits at a few illustrative visit values, and shows how to check it month by month against an itemized report.
- DocsMD's Recovery Guarantee: at least 2x the monthly fee in recovered revenue every month, or the next month is free, up to three free months a year.
- At the regular $1,149 per location, the monthly bar is $2,298. At the $699 Founder Rate, it is $1,398.
- In visits, the bar depends on what a visit is worth to you. At an illustrative $120 visit, $2,298 is about 20 visits a month, or roughly one per working day.
- Check it yourself: add up the dollar column in the itemized weekly reports for the month and compare it with 2x your fee.
The terms, stated plainly
DocsMD's Recovery Guarantee is short enough to state in one sentence: each month, DocsMD recovers at least two times the monthly fee in revenue, or the next month is free. A practice can receive up to three free months in a year. The agreement runs for 12 months.
The fee is $1,149 per location per month. The Founder Rate is $699 per location per month for the first five practices in each metro, and it stays locked for as long as the practice remains subscribed. There are no per-message or per-user fees, so the fee is the only number you need for the math.
The dollar bar
The arithmetic is simple, but it's worth writing out:
- Regular rate: $1,149 x 2 = $2,298 in recovered revenue per location per month.
- Founder Rate: $699 x 2 = $1,398 in recovered revenue per location per month.
- Over a year at the regular rate: $2,298 x 12 = $27,576 in recovered revenue, against $13,788 in fees.
- Over a year at the Founder Rate: $1,398 x 12 = $16,776 in recovered revenue, against $8,388 in fees.
Translating dollars into visits
Dollars are abstract. Visits are what your front desk sees. Divide the bar by the value of a recovered visit and round up to see how many visits it takes. The visit values below are illustrative only; use your own average collected revenue per visit.
At the regular rate ($2,298 a month):
- At an illustrative $90 visit: about 26 visits a month
- At an illustrative $120 visit: about 20 visits a month
- At an illustrative $185 visit: about 13 visits a month
- At an illustrative $260 visit: about 9 visits a month
The Founder Rate, in visits
At the Founder Rate, the bar of $1,398 a month works out to about 16 visits at an illustrative $90 visit, about 12 visits at $120, about 8 visits at $185, and about 6 visits at $260.
Put another way: with roughly 21 working days in a month, the regular-rate bar at an illustrative $120 visit is about one recovered visit per working day. The Founder Rate bar at the same visit value is a little more than one every two working days.
Compare that with the sources of leakage most practices have. A single unanswered booking call, a cancellation that was never refilled, a patient who walked out of the waiting room, or a recall patient who never heard from the office can each be one of those visits.
Finding your own visit value first
The visit counts above only mean something once you plug in your own number. The right figure is average collected revenue per completed visit, not your fee schedule. Here is a quick way to get it:
- Pick a recent three-month period that ended at least 60 days ago, so most claims have paid.
- Pull total collections for visits in that period from your billing or collections report.
- Count completed visits in the same period from your schedule export.
- Divide collections by completed visits. If, for illustration, a practice collected $214,500 on 1,650 visits, its average visit value is $130.
- Divide 2x your monthly fee by that value and round up. At $130 and the regular rate, $2,298 / $130 is about 18 visits a month.
How to check the guarantee yourself
A guarantee you can't verify isn't worth much. The check here is built on the itemized weekly report, where every recovered visit is listed with the patient, the date, the action taken and the dollar amount.
- Collect the month's weekly reports. Keep the ones covering the calendar month you are checking.
- Add the dollar column. In a spreadsheet, paste the rows and use `=SUM(E:E)` on the amount column.
- Spot-check a few rows. Pick five lines at random and confirm in your EHR that the visit was booked and happened on the date shown.
- Compare with 2x your fee. If the total is $2,298 or more at the regular rate, or $1,398 or more at the Founder Rate, the bar was met for that location. If not, the next month is free.
Why a multiple of the fee, and not a flat promise
Tying the guarantee to a multiple of the fee keeps the incentive pointed in one direction: the vendor only does well when the practice does better. A flat promise like "we'll recover revenue" can't be checked. A promise like "at least $2,298 this month, itemized" can.
It also gives the practice a clean way to think about return. At exactly the 2x bar, every dollar spent on the fee comes back as two dollars of recovered revenue. Anything above the bar is upside. The guarantee is a floor, not a forecast: it tells you the minimum a month should produce, and the weekly report tells you what it actually did.
Whatever tool you use, ask the same two questions: what exactly is the floor, in dollars, and how do I verify it from my own records?
The guarantee, backed by an itemized report
DocsMD recovers revenue from missed calls, cancellations, no-shows, overdue patients and insurance gaps, and lists every recovered visit in your weekly report with the patient, date, action and dollar amount. If it doesn't add up to at least 2x your monthly fee, your next month is free. See current pricing or start with a free leak audit.
Questions
What happens if the guarantee isn't met in a month?
The next month is free. A practice can receive up to three free months in a year under the guarantee.
Does the Founder Rate have the same guarantee?
Yes. The bar is 2x whatever fee you pay, so at the $699 Founder Rate it is $1,398 a month per location.
How is recovered revenue counted?
Each recovered visit is itemized in the weekly report with the patient, the date, the action taken and the dollar amount. The monthly total of those amounts is what is compared with 2x the fee.
How long is the agreement?
Twelve months. The Founder Rate stays locked for as long as the practice remains subscribed.
